Within the CAPPS Performance Management System, there is a limited catalog of job descriptions and task and standards which you can import into performance documents. Once imported, these items can be edited. The catalog is organized by job codes, job families, and agencies creating the items.
Adding and editing descriptions and tasks and standards can save you the time it takes to generate these items from scratch. Only import items that are appropriate to the pay grade of your employees.

Creating the
Performance Document To begin Creating a Performance Document and add pre-defined items, select the Manager Self-Service link. The items of the Manager Self-Service menu will display. |

Select the Performance Management Home link. The items of the Performance Management menu will display. |

Select the Create Performance Documents link. A page will display with a list of your direct reports. |

Select the Checkbox next to the employee’s name to create a performance document. You can select more than one checkbox to create multiple performance documents. |

Select the Continue button. |

Enter or search for and select a date as the Period Begin Date, the start date for the evaluation period.. |

Enter or search for and select a date as the Period End Date. |
|
Leave the Document Type of HHS Performance. Select the Template field dropdown arrow. The values of HHS Performance and HHS Performance (Offline) will appear. |

Select the HHS Performance template. |

Select the Create Documents button. The Create Performance Documents - Results page will display. You will receive confirmation that you have created a performance document. If the person already has a performance document in place, you will receive an error. |

Searching for
Catalog Items Select the Current Documents link. |

Find the employee for whom you have created the performance document, and select the HHS Performance link next to that employee's name. The Document Details page will display. |

Select the Start link for the step of Establishing Evaluation Criteria. The Performance Criteria page will display. |

Select the Add Job Description or Add Task and Standards link. The Add an Item page will display. |

To search for and add catalog items, select Add pre-defined item. Select the Next button. The Add a Job Description or Add a Task and Standards search page will display. |

You can search for items by typing a full or partial job code or position title in the Title field, Search for items associated with a Job Family, or searching for items created by and agency. To search for items associated with a Job Family, an efficient way to review items, select the Content Group Type field dropdown arrow. A list of the job families with items available in the Catalog will display. |

Review the Job Families list. Select the Content Group Type/Job Family which you believe is most likely to include a item you can use, with or without editing. |

Select the Search button. All job items associated with the job family you selected will appear. |

If you want to narrow the search results, you can use the Content Group search parameter. You can only use the Content Group search parameter with the Content Group Type search. When you select Content Group, you are selecting the agency that created the job description or task/standards. You can use items created by any agency. Select the Content Group dropdown arrow. A list of agencies will display. |

Select any Agency. Select the Search button. The search results will be reduced to job items created by the agency you chose. |

To view the item, select the Binoculars icon in the Item Details column. The Content Item Detail page will display. |

Read the Job Description or Task/Standards and decide if it will work for the performance document you are creating. You will be able to edit these.
Select the Return button. |

Adding Catalog Items To add the job description or task/standards to your performance document, select the Checkbox next to the title of the Item. |

Select the Save button. Then select the Return to Performance Criteria link. The Performance Criteria page will display. |

Select the Expand link to view the imported items. Select the Red Edit Pencil icon to edit items. Select the Trash Can icon to delete items. End. |
